PA System/Microphone Music is a very important piece of the ceremony and reception. DJs help with order of events and flow (cake cutting, toasting, special dances, etc.) We do highly recommend utilizing a DJ and we have a list of experienced DJs on our Favorite Vendor Page. For those couples who are looking to save money and are having a relaxed wedding/reception, Sunset Ridge Barn does have a small speaker for the deck and a cordless microphone and microphone stand for outdoor wedding ceremonies (must be reserved ahead of time). Your own phone or iPad can be plugged in to this system with a prepared playlist. Couples must provide a trusted friend or family member to run their ceremony/reception music if choosing this option (our barn staff does not run the music). There are also two speakers mounted indoors and a mixer board for the reception. Our system is NOT DJ quality and we do not have back-up in the event the system were to malfunction on your special day. It has worked well for the couples who have chosen to use it so far. Be sure to come and look at/listen to this option before deciding.
Flat Screen TVs There are two flat screen TVs mounted on the main wall with a DVD player and flash drive that can be used for slide shows or to simply leave an engagement picture up. If planning to do a slide show, please bring it in to test out at or before the 3-week meeting. A DVD is the recommended way to bring it in (sometimes flash drives are not compatible and need to be re-done). There is no wireless internet available at Sunset Ridge Barn, however, we have had couples use their own hotspot and stream in baseball and football games on the TVs.
Non-Alcoholic Beverages You will want to provide your guests with non-alcoholic drinks throughout the evening. Our wedding venue has drink dispensers and as long as the drinks you bring in are pre-mixed, our staff will take care of filling and refilling the dispensers for you (it's easiest to bring in gallons of pre-mixed tea or lemonade). If using dispensers, be sure to bring glasses. Sunset Ridge Barn also has four antique washtubs (2 indoor tubs and 2 outdoor tubs) for canned/bottled non-alcoholic drinks (no glass bottles, please). Bring in your own canned/bottled drinks and Sunset Ridge Barn will take care of filling and refilling these tubs for you. Sunset Ridge Barn will provide the ice for the indoor washtubs and drink dispensers only. If choosing to use the outdoor wash tubs you will need to bring in your own ice for those (depending on the weather, the outdoor washtubs can go through a lot of ice). Warning on red-colored non-alcoholic drinks: the die that is used in some of these (for example Hawaiian Punch) has stained table cloths and runners so use at your own risk.
Ice Sunset Ridge Barn supplies ice for the drink dispensers and indoor washtubs only. Caterers, vendors and any other ice needs will need to bring in/supply their own.
No Glass Bottles No glass bottles are allowed on the property (with the exception of the bartender's use behind the bar).
Kitchen/Food/Caterers Couples must use a licensed caterer. The Sunset Ridge Barn kitchen has no stove and is not set up to cook food. The barn only has a caterer set-up kitchen and is not stocked with any kitchenware. Electric roasters are not allowed (they pull an enormous amount of electric and multiple roasters going at once causes brakers to repeatedly trip). The sterno system has worked the best (which is what all caterers have used so far). I've been told you can purchase the wire racks, trays and flame canisters in a set at places like Amazon, Costco or Sam's Club. There is a refrigerator which couples can utilize (the bartender uses this refrigerator also).
Wedding Cake/Deserts/Candy Tables Our venue has a cupcake/desert rustic ladder, large variety of desert serving pieces, cake stands, candy jars and cake cutters. We also have a whiskey barrel cocktail table that couples love to cut their personal cake on for pictures. Don't forget to bring napkins, plates and forks for your cake/desert table. There are many great bakeries on our "favorite vendor" page to choose from! LOVE them all!!
Food Leftovers Be sure to check with your caterer on their policy for leftovers. Most of the caterers that have been out to our venue have allowed couples to keep all of their leftovers. If this is the case with your caterer, you will want to plan to bring something to transport your leftovers home with you, and/or to be able to send some home with your guests. Large styrofoam containers, large baggies and plastic wrap will come in VERY handy! Dollar General sells the large and small styrofoam containers 10 for $1.
Garbage Sunset Ridge Barn takes care of emptying the garbage can liners, when full, and replacing them for you throughout the evening. It is up to the couples/families to make sure the garbage/debris makes it into the provided garbage cans. Our barn has 5 large garbage cans that are on wheels and can be placed anywhere you like. Anything that cannot be vacuumed up is up to the couples/families to pick up and place in the garbage cans.
Chalk/Chalk Boards Sunset Ridge Barn has various chalk boards that couples can reserve ahead of time and use for their ceremony/reception. We provide chalk but you will need to bring in your own chalkboard markers.
Aisle Runners Aisle runners are difficult to use for outdoor ceremonies due to the wind blowing them easily. There isn't a good way to secure them to the deck. Real rose petals are beautiful sprinkled along the aisle to define it or baby's breath in the barn metal buckets have been fun ways to define the aisle if desired. The deck, barn and pond make such a beautiful back drop neither of them are really necessary though.
Odds and Ends to Bring It would be helpful to bring scissors, tape, twine and dish rags. Dish soap will be provided by our venue but not dish towels/rags.
Hanging items on the Walls and Railing Command makes special hooks that can be placed on wood and do not leave a mark (some are even lighted). They can be purchased at Walmart. Nothing can be used that punctures the wood or would potentially leave a mark so those have worked great for couples who are hanging light weight items (2 lb. weight limit on the command hooks that I've seen). Also, couples have been bringing twine to tie various décor to the barn railing and posts. No ladders are allowed to be used or brought in unless it is being used by a licensed decorator (decorator must provide license by the 3-week meeting).
Flowers We have three florists on our vendor page who could take care of your flower needs if you want to have that piece done for you. Our venue has a wide variety of mason jars, glass vases and metal buckets that our couples can use for their flowers. Some couples have used only baby's breath--simple, rustic elegance. Sunset Ridge Barn also has a variety of artificial flowers that we can set up for our couples as well.
Chairs Sunset Ridge Barn has separate beautiful white chairs for both the ceremony and reception so there is no shuffling chairs indoors after the ceremony. Both our ceremony and reception chairs are very sturdy and have a weight limit of over 500 lbs. If requested, our barn staff can clear the ceremony chairs after dinner and set up the deck with either whiskey barrels or cocktail tables and the Sunset Ridge Barn deck games.
Arch Sunset Ridge Barn has a permanent rustic log arch on the deck for outdoor ceremonies. The arch is permanently attached to the deck with a beautiful country pond backdrop. This arch cannot be moved or replaced. We have tulle, artificial flowers, greenery and flower garlands to pick from if you choose to have Sunset Ridge Barn decorate it for you.
Indoor Wedding Ceremony Option (if rain, wind or cold weather) This venue has beautiful rustic interior, large variety of LED candles and an indoor arch. Our venue has the ability to completely hide the bar which makes Sunset Ridge Barn perfect for romantic indoor candlelight ceremonies too!
Seating Floor Plans/Decor When you are ready, make an appointment to come out to the barn to choose your table/chair floor plan. Also, take time to browse through our albums for any Sunset Ridge Barn decor that you may want to have our barn staff set up for you. Sunset Ridge Barn decor must be decided on ahead of time and a plan put in place at or by the three week meeting (we cannot guarantee availability to get couples back into the barn past the 3-week point). Anything brought in by couples/families and vendors (flowers, decor, furniture, signs, etc.) is up to them to set up and tear down. Sunset Ridge Barn staff only sets up and tears down it's own decor and furniture. If planning to use Sunset Ridge Barn décor, be prepared to be able to substitute any décor items that are changed or break.
Insurance Couples are required to carry a special event insurance policy for their wedding and to use Amber at Fortress Wealth Management to put this policy into place for their wedding since she is familiar with this policy (not all agents are). Her phone number 515-208-1050 and current pricing for this policy is approximately $186.
Recycling We now have a special dumpster strictly for recycling from TRM Disposal! We are so excited to bring this service to our Des Moines Area Wedding Barn Venue.
Rehearsal/Pictures There are many different ways you can rehearse without the extra expense of renting the barn for an hour on a separate evening. Many of our couples have rehearsed at a park or their pastor's church and gone to dinner afterward IF they do not want to see each other on their wedding day. Couples that are okay with seeing each other prior to the ceremony on their wedding day have the option to rehearse at the barn on the day of their wedding and get the majority of their pictures done prior to the ceremony (guests do not have to wait as long for you after the ceremony if the majority of pictures can be done ahead of time). When choosing this option, photographers can get very special "first look" photographs without the first look being part of the ceremony. Sunset Ridge Barn has a list of restaurants in Indianola (just 10 miles from the barn) who have rooms that can be reserved for rehearsal dinners, along with information on a park with a shelter and a great hotel there too. Bride's and Groom's Changing Rooms These are wonderful rooms that our couples have thoroughly enjoyed. There is no food or drinks allowed in these rooms in an effort to keep them clean and comfortable for all couples to enjoy. These rooms will be locked once dinner has started and only a Sunset Ridge Barn staff member will be able to let couples in to retrieve items after that point in time. A phone number to text, when you are ready to retrieve items, is posted outside of these rooms.
No Alcohol Until After Ceremony/Off-Duty Officer No alcohol can be served until after the ceremony. No alcohol can be brought in from outside and all alcohol must go through the private bartending company who carries the liquor license and dram shop insurance on the property. The couple is required to pay for one off-duty officer at a rate of $40/hr (with a 5 hour minimum) beginning at the start of alcohol being served and up until the end of rental time. Be sure to check your rental contract because some of our couples have pricing that included this off-duty officer and we always go off of what is in each rental contract.
Mosquitos/Ticks Sunset Ridge Barn does spray regularly for mosquitos and ticks. We cannot guarantee you won’t see any due to the acres and acres of pure country out here, but we have been fortunate so far for 2016 and 2017 weddings to not have had any reported sightings at the barn!
Map and Google Maps Sunset Ridge Barn has a great map to the barn that we would be happy to email you upon request. Some couples have even had it printed on the back of their invitations or included a printed copy for their guests. Google Maps has been the best resource for finding the barn as well and better than GPS (some GPS systems are older and have not been as good).
Ceremony Times/Timelines A timeline has proven to be a necessary resource for our couples. They help the DJ, photographer and barn to be able to efficiently help you. Timelines make sure you don't miss anything that you have planned to do and also that you keep your wedding moving/flowing. You want to ensure that your guests are still at their tables while you cut the cake, do toasting/speeches, and of course, dance your first dance together! Remember when deciding on what time your ceremony should be that alcohol begins to be served right after the ceremony. So, the earlier you plan to have your ceremony, the more alcohol you will potentially go through and your DJ will also need to be reserved longer as well. 4:30pm-5:00pm ceremonies have been the average ceremony times at our barn and have worked great. - No sparklers or sparkler send-offs. Alternatives for send-off's we have seen are: paper airplanes, pom-poms, bubbles, and throwing dried flowers at the couple.
- No real candles, fireworks or anything with a flame is allowed on the property.
- No use of fake flower petals outdoors (only real petals or environment friendly petals can be used outdoors)
- No glitter
- No campers of any kind on property
- No use of ponds (for viewing only)
- No double sided tape can be used on barn decor or property (it is difficult to remove and leaves a bad residue)
