PA System/Microphone Music is a very important piece of the ceremony and reception. DJs help with keeping your reception on track with order of events and flow (cake cutting, toasting, special dances, etc.) We highly recommend utilizing a DJ for both the ceremony and reception. We have a list of experienced DJs on our Favorite Vendor Page. For those looking to save money and are having a relaxed/informal wedding and/or reception, Sunset Ridge Barn does have a small speaker for the deck and a cordless microphone and microphone stand for outdoor wedding ceremonies. There are also two speakers mounted indoors and a mixer board for the reception or for an indoor wedding ceremony. Our equipment must be reserved at or by the three-week meeting so we are able to test it and have it set up for you. Your own phone or iPad can be plugged in to this system with a prepared playlist. Couples must provide a trusted friend or family member to run their ceremony and reception music (our barn staff does not run or help with music). Our system is NOT DJ quality and we do not have back-up in the event the system were to malfunction on your wedding day. It has worked well for the couples who have chosen to use it so far.
Flat Screen TVs There are two flat screen TVs mounted on the main wall with a DVD player and flash drive that can be used for slide shows or to simply leave a still engagement picture up. If planning to do a slide show, it needs to be on a DVD and you will want to bring it in to test out at or before the three-week meeting. There is no wireless internet available at Sunset Ridge Barn, however, we have had couples use their own hotspot and stream in baseball and football games on the TVs with their own equipment.
Non-Alcoholic Beverages You will want to provide your guests with non-alcoholic drinks throughout the evening and you may bring in your own. Our wedding venue has drink dispensers, and as long as the drinks you bring in are pre-mixed, our staff will take care of filling and refilling the dispensers for you (quick tip: buy gallons of distilled water and use those for mixing before you come or buy gallons of already prepared tea or lemonade). If using dispensers, you will need to bring in your own glasses. Sunset Ridge Barn also has four antique washtubs (2 indoor tubs and 2 outdoor tubs) for canned/bottled non-alcoholic drinks (no glass bottles, please). Bring in your own canned/bottled drinks and Sunset Ridge Barn will take care of filling and refilling these tubs for you. Sunset Ridge Barn will also provide the ice for the indoor washtubs and drink dispensers only. If choosing to use the outdoor wash tubs you will need to bring in your own ice for those (depending on the weather, the outdoor washtubs can go through a large amount of ice). Warning on red-colored, non-alcoholic drinks: the die that is used in some of these (for example Hawaiian Punch) has stained table cloths and runners so use at your own risk.
Ice Sunset Ridge Barn supplies ice for the drink dispensers and indoor washtubs only. Caterers, vendors and any other ice needs will need to bring their own ice, and coolers to hold the ice, in with them.
Handicap Parking/Handicap Accessibility Sunset Ridge Barn has a special cement parking area within close proximity of the barn for anyone who needs it. Our barn venue and deck are also handicap accessible (with the exception of the barn loft which is used for overflow seating).
No Glass Bottles No glass bottles are allowed on the property (with the exception of the bartender's use behind the bar).
Kitchen/Food/Caterers Couples must use a licensed caterer. The Sunset Ridge Barn kitchen has no stove and is not set up to cook food. The barn only has a caterer set-up kitchen and is not stocked with any kitchenware. Electric roasters are not allowed (they pull an enormous amount of electric and multiple roasters going at once causes brakers to repeatedly trip). The sterno system has worked the best (which is what most caterers have used so far). I've been told you can purchase the wire racks, trays and flame canisters in a set at places like Amazon, Costco or Sam's Club. There is a refrigerator which couples can utilize (the bartender uses this refrigerator also). Couples must have their caterer plan to stay and replace food serving trays for them. Sunset Ridge Barn staff does not serve or restock appetizer or dinner food.
Wedding Cake/Deserts/Candy Tables Our venue has a cupcake/desert rustic ladder, large variety of desert serving pieces, cake stands, candy jars, vintage cut glass platters and cake cutters. Our barn also has a whiskey barrel cocktail table that looks great in pictures for cake cutting. Don't forget to bring napkins, plates and forks for your cake/desert table. There are many great bakeries on our Favorite Vendors page to choose from! LOVE them all!!
Garbage Sunset Ridge Barn takes care of clearing tables and emptying the garbage cans for you throughout the evening so that you and your family can enjoy your special day.
Chalk/Chalk Boards Sunset Ridge Barn has a variety of chalk boards that couples can reserve at their 3 week meeting and use for their ceremony/reception. We provide chalk but you will need to bring in your own chalkboard markers.
Aisle Runners Aisle runners have been difficult to use for outdoor ceremonies on the deck due to the wind blowing them easily. Securing them to the deck is difficult because nothing can be used that would damage the wood.
Odds and Ends to Bring It would be helpful to bring scissors, tape, and twine. Dish soap will be provided by our venue but not dish towels/rags.
Decor/Hanging items on the Walls and Railing Walmart sells command hooks that can be placed on our barn wood and do not leave a mark (2 lb. weight limit on the ones I've seen). Nothing can be used that punctures the wood or could leave a mark. Twine also works great to tie various décor to the barn railing and posts. No ladders are allowed unless being used by a licensed decorator (decorator must provide license by the 3-week meeting if bringing in ladders or lifts). Decor being brought in must be pre-approved by Sunset Ridge Barn to make sure there are no property damage, environment or liability risks. There is a no flame policy which includes no candles, smoke bombs, sparklers or fireworks of any kind.
Flowers Our barn has three florists on our Favorite Vendor page who could take care of your flower needs if you want to have that piece done for you. Our venue has a wide variety of antique and vintage: mason jars, brass pieces, milk glass vases, colored glass pieces, crystal vases and metal buckets that florists can use for their flowers and/or baby's breath. Sunset Ridge Barn also has a variety of artificial flowers that we can set up for our couples as well.
Chairs Sunset Ridge Barn has separate beautiful white chairs for both the ceremony and reception so there is no shuffling chairs into the barn after the ceremony. Our barn's ceremony and reception chairs are very sturdy and have a weight limit of over 500 lbs. If requested, our barn staff can clear the ceremony chairs after dinner and set up the deck with either whiskey barrels or cocktail tables and the Sunset Ridge Barn deck games.
Arch Sunset Ridge Barn has a permanent rustic log arch on the deck for outdoor ceremonies. The arch is permanently attached to the deck with a beautiful country pond backdrop. This arch cannot be moved or replaced. Our barn has tulle, artificial flowers, greenery and flower garlands to choose from if you decide to have Sunset Ridge Barn decorate it for you. Indoor Wedding Ceremony Option (if rain, wind or cold weather) This barn venue has beautiful rustic interior, large variety of LED candles and a beautiful indoor arch. Our wedding venue has the ability to completely hide the bar making Sunset Ridge Barn perfect for romantic indoor candlelight ceremonies! Sunset Ridge Barn also uses a curtain to completely hide the bride coming out of her changing room so she remains hidden until her grand entrance down the aisle. Every detail is important.
Seating Floor Plans/Decor When you are ready, make an appointment to come out to the barn to choose your table/chair floor plan and decor that our staff will have set up and ready for you when you arrive on your special day. Then you, your family and friends get to relax and enjoy your wedding day. Sunset Ridge Barn decor must be decided on at or by the three week meeting. Sunset Ridge Barn staff only sets up and tears down our own barn decor and furniture. Anything brought in by couples/families and vendors (flowers, decor, furniture, signs, appetizers, dinner food, etc.) is up to them to set up and tear down. Decor offerings are subject to change and substitutions may need to be made if a decor item becomes unavailable.
Insurance Couples are required to carry a special event insurance policy for their wedding and to use Amber at Fortress Wealth Management (515.208.1050) to put this policy into place. Current pricing for this policy is approximately $186.
Recycling We now have special recycling receptacles! We are so excited to bring this service to our Des Moines Area Wedding Barn Venue.
Rehearsal There are many different ways you can rehearse. (1) Rehearse at the barn on the day of your wedding. (2) Rent the barn for one hour on either a Wednesday or a Thursday evening--cost is $200 (the barn is not available for Friday rehearsals). (3) Many of our couples have rehearsed the Friday evening before their wedding at a park, reserved a back room at restaurant to rehearse and have dinner, or their pastor's church and then gone to dinner afterward. Sunset Ridge Barn has a list of restaurants in Indianola (approximately 10 miles from the barn) who can accommodate rehearsal dinners, along with information on a park with a shelter and a great new hotel there too. Bride and Groom Changing Rooms These are wonderful rooms that our couples have thoroughly enjoyed. There is no food or drinks allowed in these rooms in an effort to keep them clean and comfortable for all couples to enjoy. These rooms will be locked once dinner has started and only a Sunset Ridge Barn staff member will be able to let couples in to retrieve items after that point in time. A phone number to text, when you are ready to retrieve items, is posted outside of these rooms.
No Alcohol Until After Ceremony/Off-Duty Officer No alcohol can be served until after the ceremony. No alcohol can be brought in from outside and all alcohol must go through the private bartending company who carries the liquor license and dram shop insurance for our barn venue. The couple is required to pay for one off-duty officer at a rate of $40/hr (with a 5 hour minimum) beginning at the start of alcohol being served and up until the end of rental time. Be sure to check your rental contract because some of our couples have pricing that included this off-duty officer and we always go off of what is in each rental contract.
Mosquitos/Ticks Sunset Ridge Barn does spray regularly for mosquitos and ticks. We cannot guarantee you won’t see any due to the acres and acres of pure country out here, but we have been fortunate so far for 2016 and 2017 weddings to not have had a problem at our barn!
Map and Google Maps Sunset Ridge Barn has a great map to the barn that we would be happy to email you upon request. Some couples have even had it printed on the back of their invitations or included a printed copy for their guests. Google Maps has been the best resource for finding the barn and better than GPS (some GPS systems are older and out dated).
Wedding Photography There are many benefits to the bride and groom seeing each other before the ceremony. You can get the majority of your pictures done so that your guests do not have to wait as long for you after the ceremony. Also, photographers can get very special "first look" photographs without the first look being part of the ceremony. Something to consider when planning and constructing your timeline.
Ceremony Times/Timelines A timeline has proven to be a necessary resource for our couples. They assist the DJ, photographer and barn to know your plan and helps to ensure you do not skip anything you had planned to do. Also, they help to efficiently keep your reception moving/flowing so that your guests are still at their tables to watch you cut the cake, do toasting/speeches, and of course, dance your first dance together! The average ceremony times at our barn have ranged between 4:30 to 5:30 (caution on early ceremonies, you will be renting your DJ longer and potentially going through more alcohol). - No sparklers or sparkler send-offs. Alternatives for send-off's we have seen are: paper airplanes, pom-poms, bubbles, and throwing dried flowers at the couple.
- No real candles, fireworks, smoke bombs or anything with a flame is allowed on the property.
- No use of fake flower petals outdoors (only real petals or environment friendly petals can be used outdoors)
- No smoke machines
- No glitter
- No campers of any kind on property
- No use of ponds (for viewing only)
- No double sided tape can be used on barn decor or property (it is difficult to remove and leaves residue)
